Implementation

From your current system to a running mission. Scoped, not assumed.

Wortol is implemented against your real systems, data and permissions. Every claim on this page reflects what we confirm during scoping — we do not promise support for a system, format or timeline before reviewing yours.

01 / Integrations

Connected to the tools your agency already runs.

Compatibility is verified against your actual setup during scoping. We confirm each connection works with your accounts and data before it is part of your rollout plan.

Verified, not listed

We do not publish an integration catalogue we cannot stand behind. The systems you use are reviewed during scoping and current compatibility is confirmed in writing.

Your records stay yours

Integrated data is scoped to your agency workspace and enforced through access policies. Nothing is shared across agencies.

  • Email and calendar connections are configured per user, so agent-drafted outreach and scheduling land in your recruiters' own inboxes.
  • Where a direct connection does not exist, structured import and export paths are agreed during scoping.
  • Any integration that touches candidate or client data is covered by the same access policies and activity history as native records.

02 / Data migration

Your database, moved with its relationships intact.

Migration is scoped against your current system, export format, field quality and relationship ownership. The supported path is confirmed before you commit to a rollout.

  • Sample-first assessment. We review a real export before promising a path, so field mapping, duplicates and gaps are known up front.
  • Staged import with validation. Candidates, companies, contacts and mission history are imported in stages, with counts and spot checks verified at each step.
  • Relationships preserved. Ownership, off-limits rules and consent context are carried across, so agents respect your existing client relationships from day one.
  • Nothing overwritten silently. Conflicts between imported data and enriched facts are escalated for review, never auto-resolved.

03 / Setup time

A timeline you get in writing, after scoping.

Implementation timing depends on data volume, field quality, permissions and workflow complexity. You receive a scoped rollout plan with dates before committing — not a marketing estimate.

Scoped plan

A written rollout plan with milestones, agreed after the data review.

First mission fast

Teams run their first real mission during onboarding, on one workflow, before scope widens.

No big bang

You start narrow and expand autonomy as output proves itself against your standards.

04 / Permissions

Access and autonomy set by you, enforced by the platform.

Every record is scoped to your agency workspace and enforced through row-level access policies. Agent settings, screening controls and campaign approvals govern supported workflows.

  • Workspace isolation. Your data is never visible to, or mixed with, another agency's workspace.
  • Role-based access. Owners, admins, recruiters and viewers see and change what their role allows.
  • Workflow controls. Enable agents individually. Screening supports off, score-only or qualifying-match progression. Briefs need verification, sourced facts can be corrected or removed, and outreach needs approval unless a campaign envelope applies.
  • Off-limits enforcement. Off-limits clients and candidates are enforced by the sourcing and campaign agents, not left to individual diligence.

05 / Onboarding

Six steps from scoping to a proven workflow.

The exact migration, integrations and rollout are confirmed during scoping, so we never promise support before reviewing your systems.

  1. 01

    Scoping call

We review your current systems, data volume, team structure and the workflows you want Wortol to run first. You leave with a written rollout plan, not a generic estimate.

  2. 02

    Data review

You share a sample export from your current system. We assess field quality, duplicates and relationship ownership, and confirm the supported migration path before anything is committed.

  3. 03

    Workspace setup

Your agency workspace is created with your branding, off-limits rules, enabled agents and screening settings scoped to your operating model.

  4. 04

    Migration & integrations

Confirmed data is imported in stages with validation checks at each step. Integrations are connected and tested against real records, not assumed from a list.

  5. 05

    Team onboarding

Recruiters and operations staff are trained on their own live missions. Most teams run their first real mission within the onboarding period.

  6. 06

    Prove, then widen

You start with one workflow, verify the output against your standards, then widen agent scope and autonomy as confidence grows.

Trust alignment

The same claims as our trust centre — applied to your rollout.

Data handling during migration and onboarding follows the same statements published in our trust centre. Documents such as the DPA are available on request via legal@wortol.com; hosting, retention and subprocessors are confirmed during a security review.

Next step / scoping call

Bring your current system. Leave with a rollout plan.

A walkthrough doubles as a scoping call: we review your tools, data and team structure and confirm what implementation looks like for your agency.
